NSW Weeds Conference

All participants of the 23rd NSW Weeds Conference, including delegates, speakers, sponsors and exhibitors must be registered to attend the conference.

Registration Procedures

  • Ensure you have read and accept the Registration Conditions listed below
  • Pay via online credit card, or generate an invoice for EFT payment (bank details will be on the invoice)
  • Please note that to be eligible for the above discounted early-bird rate payment is required by the nominated date
  • Once payment has been made, you will receive a confirmation letter and receipt

Registration Categories

Early-Bird Registration – Applies to all registrations received prior to 5pm on Monday 30 June 2025. To be eligible for this rate, registration and payment must be received by this date. If payment is not received within this time, regular rates will apply.

Standard Registration – Applies to all registrations received after 5pm on Monday 30 June 2025.  All payments are required prior to the conference to enable onsite registration.

Registration Inclusions – Full conference registrations include conference materials, daytime catering for each day of the Conference (including field trip) and social functions.

*Member Registrations – These rates are for members of the Weed Society of NSW. You must currently be a member and have at least 2 years of membership. Student Registrations – To be eligible for the Student rate you must be a full-time student. You will be contacted once you have submitted your registration to provide appropriate evidence before your registration is finalised.

Details – Function includes finger food and drinks.

Casual Dinner and Bowls Tournament
Date – Tuesday 5 August 2025
Time – 6.30 to 9:30pm
Venue – Westport Club, Port Macquarie
Details – Function includes a casual dinner and entertainment, and participation in an optional lawn bowls tournament. Purchase own drinks
Dress – Smart casual

Conference Dinner
Date – Wednesday 6 August 2025
Time – 6.00 to 11:00 pm
Venue – Panthers Port Macquarie

Details – The dinner includes a 3-course meal, drinks and entertainment

Accommodation

Port Macquarie offers a range of accommodation options.  We have secured group rates for guests, options for consideration are on the accommodation page.

Registration Conditions

Payments: Payment is required to confirm registration and is due at the time your completed registration form is received.  All payments are required prior to arrival at the conference.  If payment has not been received onsite registration and attendance will not be permitted. Please note that this is a strict condition of registration.

Tax Invoices and Receipts: Please note that once paid, the Registration Form is recognised by the Australian Tax Office as a compliant Tax Invoice. Once payment has been received, a delegate confirmation letter will be emailed to the email address provided.

Billing Address: Please include Billing Address details on the registration form if applicable. All payment related correspondence (i.e. invoices and receipts) will be made out to the Billing Address.

Refunds and Cancellations: All cancellations must be made in writing (via email) to nswweeds@abercrombiemanagement.com.au. Registration fees will be refunded less a $110 cancellation fee for cancellations made prior to 5 pm on 30 June 2025. After this date, no refunds will apply, however delegate substitution is accepted. Please note that cancellation fees will apply whether or not payment is received at the time of registration. Refunds will either be processed to the credit card used, or to a nominated bank account if paid via EFT. By submitting the registration form, you are agreeing to these conditions.

Shared Registrations: Please note that one registration with payment must be received per attending delegate. Shared registrations are not permitted due to legal and insurance reasons.

Insurance: Delegate’s registration, accommodation and social function ticket fees do not include insurance. The organisers recommend taking out an insurance policy.

Disclaimer

Every effort is made to ensure that the contents of this registration brochure are correct. The organisers retain the right to make changes where necessary. Port Macquarie Hastings Council, the NSW Weeds Society and the conference coordinators, Abercrombie Management, will not accept liability for damages of any nature sustained by participants or their accompanying persons or loss or damage to their personal property for the duration of the conference and tours.

Condition of Entry

It is a condition of entry that no delegate may disrupt the order of events or intent of the program. Anyone considered to be disturbing the program intent will be asked to leave. Only pamphlets and brochures approved by the event organisers may be distributed.
